Getting the Right Support: How to Reach Out Effectively and Set Expectations

Modified on Wed, 13 Aug, 2025 at 9:29 AM

At Nexford, we want to ensure you have a smooth and supportive experience. Effective communication helps us resolve your concerns faster and strengthens relationships with your professors, Success Advisors, and fellow learners.
Here’s how you can make the most of your interactions and get timely, accurate support:

1. Use the Right Platform
Canvas Inbox – For course-related questions, assignment clarifications, or feedback, message your course professor directly.
Support Hub – For general inquiries, technical issues, or administrative requests, submit a ticket here.
MS Teams – For live chats or group discussions (if applicable).

2. Communicate Using Your Registered Contact Details
Always use your registered email address and mobile number when reaching out.
We cannot disclose any information to unverified contacts in line with FERPA regulations.

3. Send One Complete Request
Include all necessary details and context in your initial message.
Clearly state the purpose in your subject line or opening sentence.
Avoid sending multiple follow-up emails for the same issue—allow time for a response.

4. Direct Your Query to the Right Team
Avoid CC’ing multiple departments unnecessarily.
If unsure, send your request to the Learner Success Team via the Support Hub, and we’ll route it to the correct department.

5. Start Fresh for New Topics
Open a new email or ticket for each unique query instead of replying to old threads.
This keeps communication clear and easier to track.

6. Check Resources Before Reaching Out
Review assignment instructions, FAQs, or course materials.
Many questions can be answered instantly without waiting for a reply.

7. Maintain a Respectful and Professional Tone
Use polite and constructive language, even when expressing concerns.
This fosters positive interactions and helps us focus on resolving your concerns.

8. Understand Response Times
We aim to respond within a reasonable timeframe (excluding weekends and holidays).
Response times may be longer during peak periods, but we will get back to you as soon as possible.

Why This Matters
Efficiency – Helps us address your queries faster.
Clarity – Keeps communication focused and easy to follow.
Collaboration – Encourages respectful and effective problem-solving.
Professional Growth – Builds communication habits valued in the workplace.
